Expo Stand Checklist: The Complete Branded Setup for Any Trade Show
From the gazebo down to the cable ties, every branded item your trade show stand needs to look professional and convert visitors into leads.

If you have ever exhibited at a South African trade show – Markex, Mediatech, Decorex, Rand Show, Africa’s Big Seven – you know the difference between a stand that pulls leads and one that gets walked past. Most of the difference is preparation, not budget.
Here is the complete branded expo stand checklist we walk through with first-time exhibitors. Adapt it to your stand size, but do not skip the small items at the bottom – they are where most exhibitors come unstuck.
The core stand (do not exhibit without these)
1. Branded gazebo or banner wall
For most trade shows, a 3m x 3m branded gazebo at R3 495 ex vat (Classic Steel) or R5 895 ex vat (Deluxe Pro HD Aluminium) is the right starting point. If the venue does not allow gazebos (some indoor venues ban them for fire-code reasons), use a 3m fabric pop-up banner wall at R3 695 ex vat as your stand backdrop instead.

2. Front counter / sales table
A fabric promotion counter at R1 795 ex vat is purpose-built for this. Alternative: a stretch-fit 3m x 2m branded tablecloth at R1 395 ex vat over a hired trestle table.
The counter sets the conversation: where staff stand, where visitors approach, where lead-capture forms or product samples sit.
3. Branded chairs for staff and visitors
Branded directors chairs at R1 195 ex vat per chair beat plastic camping chairs every time. Two for staff, one or two for visitors who want to sit and chat.
4. Flag signage
At least two feather, sharkfin or telescopic flags at your stand entrance – 3m height minimum so they are visible above the crowd. Two flags at R795 ex vat each are non-negotiable for visibility in a busy hall.
5. A-frame for daily offers
A pop-up A-frame at R715 ex vat sits at the corner of your stand with the day’s offer (“Show special: 20% off”, “Free coffee with demo”, “Win a giveaway here”). Change the message daily.
6. Roll-up banner for product/brand story
A roll-up pull-up banner at R755 ex vat behind the counter tells your brand story – company values, hero product, awards. Visitors read it while staff talk to others.
The conversion accessories (often forgotten)
7. Lead capture system
This is where stands win or lose. Options:
- Printed forms with clipboards (low-tech, works)
- QR code on a sign linking to a Google Form (medium-tech)
- iPad with lead-capture app (premium)
Whatever you choose, test it before the show. The number of exhibitors with broken QR codes on day one is alarming.
8. Giveaway items
Branded pens, mugs, lanyards, water bottles. Budget: R10-R50 per item, give one to every qualified lead. People remember what they took home; they forget the brochure.
9. Display props
If you sell physical products, bring at least three samples per SKU – two for handling/demoing, one in pristine condition for photos.
10. Printed material
Brochures, business cards, product sheets. Always bring 30% more than you think you need. Out-of-stock by day two looks unprofessional.
11. Demo equipment
For SaaS or service businesses: a laptop or tablet with your live demo loaded. Pre-test all internet connections at the venue (Wi-Fi is often unreliable in expo halls).
The unsexy small items (the real differentiators)
12. Cable ties and gaffer tape
Tie down loose ends, secure wobbly tablecloths, fix unexpected emergencies. R50 spent here saves R5 000 in panic.
13. Extension cords and power strips
Most expo halls ration power. Bring a 10m extension cord and a 6-way power strip. Mark them with your stand name.
14. Notebook, pens, calculator
For taking notes during conversations, doing on-the-spot calculations, writing custom quotes.
15. Phone chargers
You will use your phone 5x more than a normal day. Bring a charger; bring a power bank.
16. Cleaning supplies
Wet wipes for spills, a microfibre cloth for the gazebo and banners, a small trash bag for end-of-day cleanup.
17. Water and snacks
Staff energy crashes at 3pm of any expo day. Pack a small cooler with water, fruit and protein snacks. Hungry staff close fewer deals.
18. Comfortable shoes
Standing on concrete for 9 hours destroys you in dress shoes. Brief the team: smart shoes, not heels.
19. A small toolkit
Pliers, screwdriver, scissors, allen keys. Saves emergency trips to the hardware store.
20. Branded coffee or cold-drink offering (the secret weapon)
A small thermos of branded coffee or a cooler of branded cold drinks for visitors completely changes the conversation. Cost: R200. Lead conversion uplift: 30-50%.
Pre-show checklist (the day before)
- All branded items printed and accepted at QC
- Lead capture system tested
- Staff brief done (key offers, escalation contacts, dress code)
- Demo equipment charged and tested
- Printed material counted
- Vehicle loaded with everything above
- Setup time confirmed with venue (often 2 hours before doors)
On-show daily routine
- 7am: Arrive at venue, set up
- 8am: Final tidy, test demo, brief team
- 9am: Doors open, work the floor
- 1pm: 30-min lunch break for each staff member, rotated
- 5pm: Doors close, capture day’s leads to CRM
- 5:30pm: Set tomorrow’s offer on the A-frame
- 6pm: Leave or unwind
Post-show follow-up (within 48 hours)
The leads cool fast. Within 48 hours of the show ending:
- Sort leads into hot / warm / cold
- Personal email to every hot lead with the offer you discussed
- Email blast to warm leads with show recap and offer
- Add cold leads to your newsletter list (with permission)
- Internal debrief: what worked, what didn’t, what to change next year
Most exhibitors skip post-show follow-up. That is where 80% of expo ROI is lost.
